Who is responsible for your information?

Herbst Systems is operated by Prof. Jan-Peter Herbst in the United Kingdom. For questions about this notice or your personal information, email [email protected].

What the site collects and why

Consultancy and expert-work enquiries. The contact form collects the details you enter, including your name, organisation, role, email address, project context, desired outcome, and optional qualification information. This is used to reply, assess fit, and take steps you request before a possible engagement.

AI readiness quiz. The quiz processes your answers in the browser to calculate a readiness score. If you submit the result, your email address, score, readiness band, and standard recommendations are emailed to Herbst Systems. They are not added to a mailing list.

Website operation and analytics. The site and its hosting infrastructure may process technical request information, such as IP address, requested page, date, time, and browser or device information, for security and operation. Self-hosted Matomo is used to understand aggregate page use and conversion events. The browser tracker is configured not to set analytics cookies.

Lawful bases

Enquiry information is processed where necessary to take steps at your request before a possible contract and, particularly where you contact Herbst Systems on behalf of an organisation, for the legitimate interest of answering relevant business enquiries. Basic security and aggregate analytics are processed for the legitimate interests of protecting and improving the website. This information is not used for unrelated direct marketing.

Services that process information

Form and quiz notifications are sent through Resend, operated by Plus Five Five, Inc. Resend processes message content and email metadata in the United States. Its Data Processing Addendum incorporates safeguards for UK transfers, including the UK Addendum to the Standard Contractual Clauses and the UK Extension to the EU–US Data Privacy Framework.

Website analytics are hosted in a self-managed Matomo installation at janherbst.net. Hosting and infrastructure providers process information only as needed to operate and secure these services. Personal information is not sold.

How long information is kept

Enquiry and quiz notifications are kept only while they are needed to respond, assess a possible engagement, maintain necessary business or legal records, or resolve a dispute. If an engagement proceeds, relevant correspondence may become part of the client record. Technical and analytics information is retained only while useful for website security and aggregate performance analysis, then deleted or anonymised according to the applicable system settings.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase, restrict, or obtain a copy of your personal information.

You have the right to object to processing based on legitimate interests.

Automated decisions and required information

The readiness quiz automatically assigns a descriptive band from the answers supplied. It does not make a legal or similarly significant decision about you. You do not have to provide personal information, but Herbst Systems cannot reply to an enquiry without a working contact address and enough context to understand the request.
